Checklist for Faculty

Welcome to Advanced Academic Programs (AAP). The following checklist and information should assist you in getting started with your new teaching assignment at Johns Hopkins University Advanced Academic Programs.

 
  1. Sign and return the Memorandum of Appointment (keep a copy for your records) and return to AAP Washington, DC Center at least one month before the beginning of the semester/term.
  2. Complete the Personnel Information form and send it via email to Beth Lemkelde, beth_lemkelde@jhu.edu. Complete regardless if you are a new or returning lecturer; payroll needs to update a considerable amount of information on returning faculty members.
  3. New faculty only: Complete the I-9 employment eligibility verification form in person with appropriate identification (see page 2 of I-9 form for identification information) at least one month before the beginning of the semester/term. This form MUST be completed in person at an AAP teaching site, or by a comissioned notary public if you are not local. You can also complete tax forms at this time.
  4. Submit your syllabus with your memorandum of appointment, or send separately to the Faculty Services Coordinator at your teaching site, or post to your course site for online courses.
  5. Submit your book order 6 weeks prior to the semester start to Course Director via MBS Direct Service Center; (username = afaculty, password = facultycd). See document Online Bookstore Guide for complete directions. If no text is required, choose this in the drop down menu.
  6. Request a desk copy of your text(s) with the Desk Copy Request Form. Return with your memorandum of appointment or submit directly to Megan McGuire, mrmcguire@jhu.edu.
  7. Desk copies will be delivered to your teaching site for pick up. Online instructors will be contacted about delivery. Please note that a desk copy is provided by a publisher for texts that are adopted and ordered for a course. To review a text, please contact the publisher directly.
  8. If Audio/Visual(AV) equipment is needed, complete the Audio/Visual (AV) Request Form and submit with your memorandum of appointment or contact the appropriate Educational Support Services Coordinator.
  9. Set up electronic reserves for your course here. Contact your liason or campus librarian to find out other ways the library can assist with your course needs.
  10. For faculty whose course involves one or more field trips,after your course has begun please copy the Field Trip Waiver Form for each student; have students complete the forms and then return to Denise O'Sullivan at the Washington DC Center address.
  11. Review the Contact page.

 

Note for new faculty:
# 1, #2, and #3 above must be completed in order for your information to be entered into the payroll system and so that you can gain access to certain JHU services. Once #1, #2, and #3 are completed, you will be entered into JHED, the Johns Hopkins Enterprise Directory. JHED is a university-wide directory of students, faculty and staff. Every individual is automatically assigned a JHED Login ID. However, if you are a new faculty member, you will need to activate this.

The university portal website (my.jhu.edu) is a centralized online source for accessing the directory of students, faculty, staff, and managing your JHED account. It also serves as a portal to access on-line resources and services, including email, course rosters with the Registrar, the online library, and other electronic databases.

The J-Card is the University ID card and serves as a library card for borrowing materials. If you wish to have a J-Card, visit the JCard For Faculty page. Once you have received your J-Card it must be activated in order to borrow library materials. Your library account is activated the first time you check an item out of one of the library centers. You can also activate your account by calling the main Circulation Desk at 410-516-8370.
